How FlexFarm collects, uses and looks after information about you and your farm.

Who we are
FlexFarm is a farm management service run by Flex Corporate Services Ltd, Africana Square Building, Bagamoyo Road, Mbezi Beach, Dar es Salaam, Tanzania. We are responsible for the personal information this policy describes.
What we collect
- About you: your name, WhatsApp number, email address if you give one, and the language you prefer.
- About your farm: its name, region and location.
- About the people you add: the names, WhatsApp numbers and roles of your workers, managers and vet.
- Your records: cattle, goats, sheep and other animals, poultry flocks, milk, eggs, health and treatments, breeding, feed, weights, sales, costs and anything else you or your workers enter on the web or send on WhatsApp, including voice notes and photos.
- How you use FlexFarm: when you sign in, the messages between your farm and the assistant, and technical details such as your IP address and browser.
- On this website: what you write in our forms, and visit statistics from Google Analytics, which uses cookies.
How we use it
We use your information to provide the service you signed up for, with your consent where the law asks for it, and to meet our legal duties. We do not sell your information, and we do not use your farm records to advertise to you.
- To run FlexFarm: save your records, show your dashboard and reports, and answer you on WhatsApp.
- To send the reminders, alerts and sign-in codes you need.
- To work out your package and tell you how to pay.
- To help you when you ask for support, and to fix problems.
- To make FlexFarm better for farmers.
Who else handles it
We share information only with the companies that help us run FlexFarm, and only what each needs. Some of them process it outside Tanzania; each is bound by data protection terms in its contract with us. We also give information to authorities when the law requires it.
- Meta (WhatsApp) carries the messages between you and the assistant.
- OpenAI reads your messages and voice notes so that the assistant can understand them and reply. Under its terms for businesses it does not use them to train its models.
- SMS and email providers deliver sign-in codes and messages when WhatsApp cannot.
- Our hosting provider stores the data on its servers.
- Google Analytics counts visits to this website.
People you add
When you add a worker, manager or vet, FlexFarm sends them WhatsApp messages about your farm. Add only people who have agreed to this. Each of them can ask us to stop at any time.
Your farm's records stay with your farm
Each farm's records are kept apart from every other customer's. The assistant reads and writes only the records of the farm the person writing to it works on, and workers see only what the owner allows.
How long we keep it
We keep your records while your account is open, so that your history and reports stay complete. If you close your account, ask us and we will delete your farm's records, except what the law requires us to keep, such as payment records.
Your rights
Under Tanzania's Personal Data Protection Act, 2022 you may ask to see the information we hold about you, to have it corrected, to get a copy of your farm records, to have it deleted, or to object to how we use it. Security
We protect your information with sign-in codes, encrypted connections and limited staff access. No system is perfectly safe: if something goes wrong that affects you, we will tell you, and the Personal Data Protection Commission where the law requires.
Changes
If we change this policy we will update the date above, and tell farm owners about important changes on WhatsApp.
